CJCS REFUND POLICY FOR ALL CONVENTIONS
NO REFUNDS**
THIS APPLIES TO ALL CJCS CONVENTIONS/EVENTS
When you signed your registration form, you signed that you understood and agreed to this policy.
The convention committee sets and finalizes their budget on the number registered.
Whether you attend or not, they have paid for entertainment, decorations, meals etc. based on the number registered and spent countless hours as volunteers, putting this event together and organizing tours, meals, events, etc.
Unfortunately, refunds are not available.
If there is a wait list the committee will attempt to re-sell your registration,
less an administration fee of $50.00.

IF YOU CANCEL FOR ANY REASON
1. No refunds without a medical letter from your Doctor, participants death or death in immediate family.)
2. Refunds for anyone else only if registration can be re-sold by the convention committee to someone on their waitlist. Tickets are non-exchangeable. If registration can be re-sold, the original registrant would receive their registration fee less a $50.00 processing fee, which would be issued within sixty days after convention.
3. No transferring of registrations under any circumstances. This is a legal regulation and not a CJCS one.
4. No refunds or changes for registration or tours after July 15th or within /two months prior to any convention.
5. Refunds for tours given only if we can resell your ticket but no tickets will be changed/exchanged in last month prior to event. (After that time tickets and registration packages are usually done and it’s a LOT of work to go back and make changes)
6. All registration forms must include this above the signature line and no registration is to be accepted without the member’s signature:

Refunds will only be based on our ability to resell your registration ticket to someone on our wait-list. No exceptions.
All refunds will be issued 60-90 days after the annual convention.
“We remind our members that when they register for any convention they must sign and agree to the following statement:
I UNDERSTAND THERE ARE NO REFUNDS (REFUND POLICY ON WEBSITE.) I have read, understand & agree to all convention polices as posted and enclose my payment and all signed documents required, and by signing this, I understand there is no refund.
Registrations are not accepted if that document has not been signed and dated, agreeing that they fully understand there are no refunds.”
Budgets take into account the cost per person for entertainment, decorations, everything that goes into the gift bags must be ordered and paid for well in advance, and all other related expenses.
The committee has already signed an agreement with the hotel and they are required to pay for the number of people they said would be attending and they must commit to their numbers, usually at least one month prior to the event and often well before that. The committee must also guarantee a minimum number of rooms will be rented. If there is a change to fewer rooms, the committee must pay the difference.
Therefore, if a committee should end up with less numbers than expected and planned for, the committee could go into debt and the committee members could be responsible for any debt.
If they have a wait-list, they will make every attempt to resell the registration but they will deduct an administration fee as there is a lot of paperwork that must be changed and other things that must be changed, including name badges, seating plans, printing etc. It quite honestly creates a lot of extra work at the last minute for a committee that is already overworked and usually overwhelmed in the last few weeks leading up to the actual event.
When it is an excursion, the buses have been paid months in advance, for the bus and or trip, based on the number expected.
Once we had an issue where we had "x" number signed up for a trip and had to pre-pay for the bus. Due to weather about 1/3 didn't show. As a result those who did go on the bus each had to pay for those who didn't show which significantly increased their cost. We now take measures to ensure our members are never penalized again in that way.
The rules are made to PROTECT THE COMMITTEE and our members and
are based on past experiences. Again, we stress that the convention committee is entirely responsible for all debt arising from an event.
To be fair to all participants, we must set rules and stick to them and can't set a precedent by changing them to accommodate anyone. This is standard procedure for any such event.
